PROPERTY MANAGEMENT SERVICES

With over two decades of property management experience, our team manages client properties as if they were our own. Our goal is to maintain each property well, keep tenants happy and increase the property’s value. Our expertise in the field will also assist you in making financial decisions that affect your property. We manage the property to realize the owner’s goals.

We will prepare a comprehensive service plan for your property. This plan will feature scheduled activities, as well as recommended action items, listed from most critical to optional. The full complement of this program will include, but not be restricted to, the following:

Annual preparation of property capital improvements budget for your review and approval. This can be revised to a three-year or five-year activity, depending upon your goals for the property.

Monthly communication with the leasing agent and owner of the property, providing a written report of the status of the property, any areas of concern, and the costs associated with necessary repairs or upgrades.

Weekly site visits, working with tenants and vendors to inspect both occupied and vacant spaces.

We also provide full-service property accounting with monthly financial statements, including, but not limited to the following reports:

  • Balance Sheets
  • Income Statement
  • General Ledger
  • Cash Receipts
  • Check Register
  • Tracking of Capital and Tenant Improvement Costs
  • Actual to Budget Comparison and Variance

We take seriously the charge of providing owners with customized reports that work for any lender or investor.

While we offer leasing services, we have successfully managed a number of properties that are leased by other reputable real estate companies, and your choice of leasing broker is strictly up to you. We are committed to working as part of the team you assemble.

DUE DILIGENCE

Machen Advisory Group provides this service to prospective property buyers. Having seasoned professionals assess the current operating expenses is critical in determining the true market value of a property. Inspections of the property are necessary to identify aspects that need attention. A team of experts will work on our clients’ behalf to tour the property and determine true condition. We will submit a report which illuminates necessary improvements to roof systems, HVAC and electrical systems, interior, and parking lot and landscape programming. This information is paramount when considering commercial real estate investment. We will provide a written report, accompanied with photographs and recommended solutions for deficient conditions, including work schedules and cost estimates of recommended improvements.

CONSTRUCTION MANAGEMENT

Machen Advisory Group provides construction supervision on any type of project, including interior up-fits. This service is priced at a percentage of the total job cost, and the percentage is based upon the size and cost of the job. The good news is that our sliding scale declines, as the costs grow; therefore, it’s in our best interest to secure the lowest price for your required improvements.

We have knowledge that provides insight from the planning stages throughout the construction process. Simple maintenance issues, which a manager faces on a daily basis, are often overlooked by architects and engineers. If caught in the early stages of planning, we can prevent major maintenance issues process.

MAINTENANCE OF PROPERTIES

For leased properties, in addition to the owner-oriented services outlined above, Machen Advisory Group offers services to your tenants, at tenant expense. These services are convenient for your tenants, and an asset to you, the landlord, ensuring that your property is maintained at the highest level. We will provide experienced maintenance technicians to address maintenance needs, as well as advised on minor, tenant-implemented interior improvements.

Machen Advisory Group will employ the same maintenance team to maintain the common areas of your property, handling all work orders and responding to all tenant calls. Fundamental tasks, such as changing light bulbs, collecting trash and parking lot patrols are performed. Our teams communicate via Sprint/Nextel radios, seven days a week, twenty-four hours a day. Our answering service monitors phones after hours, dispatching managers and maintenance technicians if emergencies arise after hours. This coverage minimizes damage that may occur when attendants are not on site.
